Shipping & Delivery Policy

We build large, precision-engineered acoustic spaces β€” not off-the-shelf products. Our shipping and delivery process reflects that. This policy explains how delivery works, what to expect, and what is required from you to make it go smoothly.


How Orders Are Shipped

Quiet Cabins booths are shipped as flat-packed modular components via freight carrier. Due to their size, weight, and fragility, all deliveries are handled by professional freight and logistics providers β€” not standard parcel couriers.

Each shipment is coordinated directly by Quiet Cabins after your order is confirmed and your Pre-Payment Purchase Agreement has been signed and returned.


Delivery Timelines

All delivery and installation dates are estimates provided in good faith and are not guaranteed.

Lead times vary depending on product configuration, order volume, and logistics scheduling. We will provide an estimated delivery window at the time of order confirmation and will communicate any changes as early as possible.

Quiet Cabins is not liable for delays caused by:

  • Supply chain or manufacturing disruptions
  • Freight carrier delays or rescheduling
  • Customs clearance (for out-of-province or cross-border shipments)
  • Weather, labour disruptions, or acts of God
  • Site inaccessibility or Purchaser-caused delays (see Site Readiness below)

A delay in delivery does not entitle the Purchaser to cancel the order or receive a refund of any deposit.


Ontario Deliveries

For deliveries within Ontario, freight is coordinated to your installation site. The remaining 50% balance is due upon installation unless otherwise agreed in writing at the time of order.

Quiet Cabins will confirm a delivery window in advance. Someone must be present at the site to receive and sign for the shipment.


Out-of-Province Deliveries

For deliveries outside of Ontario (including other Canadian provinces), full payment must be received before the shipment is released. No product will be shipped until the full invoice balance is paid.

Out-of-province shipments may be subject to provincial freight surcharges, extended lead times, and customs or transport documentation requirements depending on the destination. We will advise you of any additional requirements at the time of order.


International & U.S. Shipments

We ship to select international destinations, including the United States. International orders may require additional documentation (including a W-8BEN-E for U.S. clients). Full payment is required prior to shipment for all international orders. Contact us at info@quietcabins.ca before placing an international order to confirm availability, freight options, and any applicable duties or import requirements.


Title & Risk of Loss

Quiet Cabins Inc. retains title to all goods until payment is received in full. Risk of loss or damage transfers to the Purchaser upon delivery or shipment β€” whichever occurs first.

Once the shipment has left our facility and/or has been handed to the freight carrier, Quiet Cabins is not responsible for loss or damage in transit. We recommend confirming your site's insurance coverage extends to goods in transit or upon receipt.


Site Readiness

You are responsible for ensuring your site is ready before the scheduled delivery date. This includes:

  • Clear, accessible entry points adequate for freight delivery (loading dock, elevator, or ground floor access)
  • Any building or strata approvals required for large-item delivery
  • A designated area for staging and assembly
  • Adequate electrical supply at the installation location
  • All required permits, zoning approvals, and building consents obtained in advance

If your site is not accessible or ready on the agreed delivery date, additional charges will apply for re-delivery, storage, or rescheduling. These costs are the Purchaser's responsibility.

Please disclose any site constraints (stairs, after-hours requirements, parking restrictions, narrow corridors) to us in advance at info@quietcabins.ca so we can plan accordingly. Undisclosed constraints may result in delivery failure and associated charges.


Delivery Surcharges

The following may result in additional delivery charges, billed separately:

We will always notify you before incurring any additional charges.


Installation

Quiet Cabins does not provide installation services. All assembly and installation is carried out by independent third-party contractors. This applies whether the contractor was referred by Quiet Cabins or engaged independently by you.

You are responsible for arranging a qualified installer. We strongly recommend using a Quiet Cabins Approved Installer. To confirm approved installer status or request a referral, contact info@quietcabins.ca before booking.

Installation is not included in the product price unless explicitly stated in your quote.


Damaged Goods

Inspect your shipment at the time of delivery, before the freight carrier leaves.

  • If visible damage is present, note it on the delivery receipt before signing and photograph the damage immediately.
  • Email photos and a description of the damage to info@quietcabins.ca within 48 hours of delivery.
  • Damage not noted at delivery and not reported within 48 hours may not be eligible for a warranty or freight claim.

Damage occurring during transit is a matter between the Purchaser and the freight carrier, unless Quiet Cabins arranged the freight, in which case we will assist with the claim process.

Governing Terms

This policy is supplementary to the Quiet Cabins Inc. Master Client Terms & Conditions, which form part of your signed Pre-Payment Purchase Agreement. In the event of any conflict between this policy and the signed agreement, the signed agreement prevails.

All transactions are governed by the laws of the Province of Ontario. Disputes are subject to the exclusive jurisdiction of the courts of Ontario.
